KOP HILL CLIMB (KHC) PRIVACY POLICY

Background.

On 25 May 2018, the new General Data Protection Regulation (GDPR) comes into force. This will operate across the EU and it supplements the existing Data Protection Act (DPA). More about the GDPR and its relationship to the DPA can be found on the website of the Information Commissioner’s Office (ICO) at https://ico.org.uk/ The ICO is the body responsible for implementing the legislation.

The general thrust of the GDPR is to give extra duties to organisations, such as KHC, which hold personal data and extra safeguards to those members of the public, such as KHC Entrants, Spectators, Event Volunteers, Event Organisers and Suppliers whose personal data is held. Organisations (KHC) holding personal data are called Data Controllers.

The purpose of this Privacy Policy is to explain how KHC obtains and manages personal data for which it is Data Controller as well as to set out its general approach to privacy and compliance with the GDPR.

KHC Privacy Notice

Kop Hill Climb respects your privacy and we will only use your information in the way we describe in this notice. When using your information we aim to be fair and transparent, and to follow our obligations under UK data protection laws. Your information is used solely to prepare and run the annual Kop Hill Climb.

KHC is the controller for the purpose of GDPR and the data Protection Act 2018.

Collecting your information

We collect your information when you submit a request to enter a vehicle, purchase event tickets, and or you agree to be an event organiser, event volunteer, supplier and or customer. You can give us information using paper, online or verbally. The information you give us may include, your contact details (name, address, telephone number, email mail), and other information (vehicle details). When you give us information about another person, such as a parent, guardian, or emergency contact you should let that person know that you have given us the information.

Using your information

We use your information solely to prepare and run the annual Kop Hill Climb. In order to select the vehicles for both display and for the Hill Run, to send successful entrants and spectators event tickets and passes, to book suppliers and customers and to communicate any changes to the forthcoming event. We also use some of your information in the event programme. We will not sell or pass on your information to any other organisation. To support your relationship with Kop Hill Climb we may keep your information indefinitely, unless you ask us to delete it.

Sharing your information

We will only use your information within KHC for the purposes for which it was obtained.

KHC will not, under any circumstances, pass your details to any other person or organisation, without your explicit consent – which must be obtained on every occasion.

However, we will comply with legal requests from authorised, official bodies (e.g. our insurers, the police, etc.) where disclosure is required or permitted by law.

Our Website

We use cookies to track your use of our website. This enables us to understand how you use the site and track any patterns with regards how you are using our website. This helps us to develop and improve our website as well as products and / or services in response to what you might need or want.

Cookies are either:

– Session cookies: these are only stored on your computer during your web session and are automatically deleted when you close your browser – they usually store an anonymous session ID allowing you to browse a website without having to log in to each page but they do not collect any personal data from your computer; or

-Persistent cookies: a persistent cookie is stored as a file on your computer and it remains there when you close your web browser. The cookie can be read by the website that created it when you visit that website again

Security of your information

We hold your information securely. We have taken all responsible steps, and have in place appropriate security measures, to protect your information.

We’re based in the UK but sometimes your personal information may be transferred outside the European Economic Area. If we do so we’ll make sure that suitable safeguards are in place, for example by using approved contractual agreements, unless certain exceptions apply.

Your rights

  • You are entitled to a copy of the information we hold about you, and to ask us to correct any inaccuracies.
  • You may ask us to stop using your information we hold about you. If you ask us to do this you will not be able to continue involvement with Kop Hill.
  • You may make a complaint to the Information Commissioner (www.ico.org.uk)
